The first document that had to be made was the notes and sketches for our ideas and the generation of the ideas we were thinking of doing. These notes and sketches were helpful at the start as it allowed us to get down many ideas for the advert that we would of forgotten and keep them for a later date. The sketches of the ideas were useful as they helped us to visualise the ideas that were most likely going to be recorded. However after this pre-production stage these documents were not used.
After we had used the notes and sketches it was time for us to create the storyboard which we would be following as we film and revolve the filming around. The storyboard was helpful throughout the filming as we needed to be able to know what part of the advert to film and also in what order to edit the footage. We created a few storyboards in order to get the best advert we could and also make it so that we did not have any mishaps and times where we did not know what we were meant to be doing. If we were to repeat this project then i think we could spend more time on completing the storyboard and also do it in more detail with more notes on each shot as there were a few times when we needed to retake because it did not look right or an action was done at the wrong time.
Before we went out shooting we created a schedule to which we would follow in order for us to be able to complete the advert on time and also with extra time incase we were required to film some more footage. When making the shooting schedule we needed to look at a few things which would affect the days we are able to film. The first of these was the weather on the day/days of filming at the location. his effected us because if it was raining or very poor weather then health and safety would be affected and also we would not be in the right state of mind to be able to film if we are cold. Another factor that had to be taken onto account when thinking of the shooting schedule was availability of the actors and crew. This was because if on one day some one could not attend the advert would not be able to be filmed even if the weather was good enough. Even though we did look into the possibilities of being affected on the day we decided to film the weather turned out be predicted wrong which resulted in the filming to be postponed. Soon after this delay we arrived at a new date to film. We did not take into account that there may be a delay when writing the shooting schedule so were behind with the decided time to have the advert complete.
Before we done the filming we attended the filming location and drew up a risk assessment by looking for potential hazards such as trees, thorny plants or slippery surfaces. When creating this assessment we needed to take into account that the weather may cause some of the area to change and become more dangerous. We also had a look at ow close we would be to a road so that we could make sure we didn't did not get too close to put ourselves in any danger. Once we had started to record we took into account the research that we had found when looking the risks ad as a result either took extra care when in the areas that are a safety risk or avoiding the area completely.
After we got the final idea for the advert we then needed to create a budget for the props and equipment for the advert. Our budget for the advert was low as we already had most of the equipment such as the camera, tripod and the bow and arrow. The only thing that we needed to buy were the costumes which we bought second hand and therefore we were below the budget. This document was not needed after the the pre-production stage as it would not have helped us during the filming.
Whilst thinking about the location to film we decided to come up with a contingency plan in case something went wrong and we were unable to continue on with our idea our another problem arose. this plan contained a different location where we would be able to film. This was not needed as we were able to film at out first location. Another piece of back up plan that we had was a second idea for the advert which we had already thought of during the planning stage for getting our advert idea. This was added to the plan as a safety net and would only be used other were no other ways to continue with out idea. The problems that we thought could occur which would result in this second plan being needed was if we were not allowed to use the bow and arrow at either location. This would mean we could not film the primary idea and could then proceed with the second without using a much time as we already had another idea. Although this was not used during the pre production or production this was still a useful document as we knew if anything went wrong then we were covered.
A call sheet was made which had the information about what members of the crew are in charge with what such as looking after the camera, transport and times to meet. This was needed as there was a high chance that there would be confusion at one point in the filming something might have been forgotten due members of the group not knowing what they are in charge with. However with the call sheet the chance of this happening is decreased and therefore would not run into any complications with missing equipment. This document was used more towards the time that we were filming as this was the time in which we needed the equipment and time for meeting.
Contact details were another document that we had in the group of pre production documents and were useful throughout the process of idea making, filming the advert and also editing. The reason why this was used was because if a problem arose at any of the stage during the advert we knew that we were able to quickly get into contact with the other members of the group to fix the problem without having to wait a long time till we actually saw each other.
During the creation of the pre-production document we researched into who our target audience would be for the advert. We found who target audience would be by creating a questionnaire which we would ask a variety of different people in order to get a range of people so that we were able to specify the audience. After we found the target audience for the advert we used this information when developing the idea of the advert in order to be able to give it full effect on the audience. This information on the target audience was useful as we were able to develop the idea and how we would be filming the advert to make it appeal more to the target audience than we would have been able to if we did not research into the target audience. This information was considered throughout this task as sometimes we might have lost track how this advert was meant to look and be aimed to.
In the pre-production stage the most useful document were the notes, sketches and storyboard. This is because these documents allowed us to start our ideas and also develop them. Another reason why these documents were so useful is because they were able to be used throughout the whole of the process including right t the start, in the development stage, during the filming to know what we needed to film and also post production so that we knew what order the film needed to be edited in. However these documents could have had more time spent on them to give them more detail so tat we could have been sure that we did not forget any of the idea.
The least useful document for me was the shooting schedule and this was because although we did look into many possibilities of the filming being postponed we still ended up not following this schedule due to other circumstances such as the wrong weather forecast and availability of the crew. Although this was the least useful for me i think that if these other factors did not affect the time we were able to shoot the this document would have been one of the useful documents rather than at the bottom of the list.
If i was to do this project again then i would improve the majority of the documents that were created so that they could be more useful and used throughout all the stages. I would improve these documents by spending more time on each one and therefore be able to write and draw more detail so that the filming and editing would be much easier because all of the work would have been done at the start and therefore would save time later on in the task.
